General Terms and Conditions

Reservation / Booking

Upon booking, a booking confirmation and invoice will be sent via email containing the name of the main booker who is responsible for the booking and payment. The main booker must be at least 18 years old and is required to provide Klaralvenkanot with complete and correct booking and contact details. The booking confirmation / invoice also constitutes the agreement between the main booker and Klaralvenkanot. The invoice contains an overview of the booked services and/or products, plus any other additional agreements with Klaralvenkanot. Examples of such arrangements include overnight accommodation reservations, rental of other materials, etc.

The main booker is responsible for checking the booking confirmation and/or invoice and informing Klaralvenkanot of any errors.

Payment

The deposit must be credited to Klaralvenkanot's account within 10 days of receipt of the invoice. Always include the booking number and/or OCR number with the payment. Please note that exchange rate charges and/or transaction fees may be charged. Payment can be made by bank transfer or credit card.

Cancellation

Cancellation must be made by the main booker by telephone or email.

In the event of cancellation more than 60 days before the arrival date, 20% of the booking costs will be charged.

In the event of cancellation more than 30 days up to 15 days before the arrival date, 50% of the booking costs will be charged.

In the event of cancellation 14 days or less before the arrival date, 100% of the booking costs will be charged. Cancellation insurance covers cancellation costs in the event of significant medical reasons; should special personal circumstances arise, we will certainly always consider the guest's needs out of goodwill.

Changing a booking

A date change can be made free of charge by the main booker up to 30 days before arrival, subject to availability. If there is no availability and/or the date change takes place within 30 days of arrival, the change will be treated as a cancellation. Other changes, such as adding persons and/or products, are possible based on availability. Please contact Klaralvenkanot by email or telephone for this.

Changes will be confirmed by Klaralvenkanot via email, amended booking confirmation, and/or invoice. From that moment on, the change is final. Costs may be charged for any changes to the program on-site or if additional transport is required.

Personal Data

To process your booking, we cannot avoid recording some of your personal data. Klaralvenkanot is therefore responsible for the secure and structured registration of this data, and disclosure to third parties is excluded.

By booking and once the deposit has been paid, the main booker has agreed to the applicable terms and conditions.

Guest Responsibility

General

Check the booking confirmation and/or invoice to ensure that it contains the correct details. Errors must be reported to Klaralvenkanot immediately. The main booker will inform his/her fellow travelers about what has been booked and the terms and conditions. The main booker is responsible for taking out insurance themselves, such as travel insurance, liability insurance, and cancellation insurance. Please note that not every insurance policy offers the same coverage within Europe. To be sure, contact your insurance company before your departure.

Stay

Guests must treat the accommodation with respect and observe the general rules and instructions. Guests are responsible for any damage to the accommodation, the furniture, and the surroundings. Only the number of persons specified at the time of booking may stay in the accommodation. After the stay, the accommodation must be left broom-clean. Bed linen is provided in every accommodation. If it is not being used, we ask that you set it aside.

Smoking is prohibited in all Klaralvenkanot accommodations.

Pets are allowed. If you wish to bring a pet, you must inform Klaralvenkanot in advance by telephone or email. We advise you to check the dog's passport and vaccinations against the applicable rules within Sweden before your departure to Sweden.

Check-in for an overnight stay with our physical presence is possible between 14:30 and 19:30. Should circumstances prevent you from checking in on time, please let us know by phone so that we are aware of your late arrival.

Parking

Parking on the Klaralvenkanot premises is at your own risk. Damage incurred during the stay is outside the liability of Klaralvenkanot.

Canoe and kayak tours.

For the canoe and kayak tour, we advise you to bring appropriate clothing. All adults in the group must be able to swim, and wearing life jackets is mandatory during the canoe trips. Guests are responsible for returning the rented equipment to the agreed location on time, intact, and clean. Guests are required to report any damage and pay the (repair) costs.

Lost as well as damaged or broken materials must be paid for. Since these are materials that are difficult or even impossible to repair, the full replacement value will be charged.

At the start of an activity, the guest is aware of and responsible for the following points.

Based on the information provided, the guests have made an appropriate assessment to be able to carry out the activity.

The guests understand and respect the Swedish right of public access. For example, guests may be ordered by the authorities to pay damages, fines, or imprisonment if a fire gets out of control, if a fire is started during a fire no-fire zone, or if waste is left behind.

For canoeing and kayaking, children aged 15 and under must be accompanied by an adult.

Responsibility/Liability Klaralvenkanot.

Klaralvenkanot ensures that guests receive a thorough briefing prior to all canoe and kayak tours on the rivers and lakes. The briefing provides guests with information regarding the route, safety on the water, Swedish public access rights, current forest fire risk, etc.

All activities in this natural environment are subject to weather conditions. Rain, thaw, and drought can lead to variable water levels in the waterways where Klaralvenkanot's tours take place. Due to these external factors, over which they have no control, Klaralvenkanot may make changes to the tours offered.

Karalvenkanot is not liable for accident, theft, or damage on its premises, unless this is the result of a shortcoming attributable to the entrepreneur.

Complaints

If guests notice a shortcoming in the performance of the agreement, this must be reported as soon as possible so that an appropriate solution can be sought.

Klaralvenkanot will assess the complaint and make every effort to resolve it to the guest's satisfaction. Should the guest not be satisfied with this, Swedish law applies.

Availability during trips

Klaralvenkanot feels responsible for its guests on the water and is available at all times for help and support. Details regarding this availability can be found on the instruction/route map.

Day/Multi-day trips without reservation or booking

For day/multi-day trips without a booking or reservation, an agreement will be drawn up on-site with a reference to the general terms and conditions.

This agreement contains the following details: personal details of the main booker and the rented number(s) of canoe(s) or kayak(s), any accessories rented along with the trip, and transport costs.

Canoe and kayak tours.

For the canoe and kayak tour, we advise you to bring appropriate clothing. All adults in the group must be able to swim, and wearing life jackets is mandatory during the canoe trips. Guests are responsible for returning the rented equipment to the agreed location on time, intact, and clean. Guests are required to report damage and pay the (repair) costs.

Lost, as well as damaged or broken materials, must be paid for. Since this concerns materials that are difficult or even impossible to repair, the full replacement value will be charged.
